# UNIHUB Practical Guide

**Marketing / Training staff, employees, and community members / Automating work (RUNner)**

- Purpose: one guide, with screenshots, that shows "which screen, which button, and what gets finished" when a company uses UNIHUB
- Audience: executives, marketing leads, training leads, and team leaders at companies that use UNIHUB (or are considering it)
- Expected effect: the parts of lead generation, employee training, and daily work that people used to run by hand can be handed to UNIHUB and AI, so people spend their time on deciding and on talking with people
Screens are as of 2026-10-12. The red boxes and the numbers ①②… in the images show where to press and where to type, in order. Screenshots show the Japanese screens; the English screens have the same layout. Screen wording and plan conditions may change as we improve the product. Check the sign-up screen for the latest pricing.

## 0. What UNIHUB lets you do (summary)

UNIHUB is "chat where work gets finished." Lead generation, training, meetings, tasks, and AI all live inside the chat.

| Area | Before | With UNIHUB |
| --- | --- | --- |
| **Marketing** | Webinars, bookings, perk delivery, and payments were managed in separate tools, with the gaps filled by hand | Recorded webinars play automatically at set times, and registration, reminders, replays, and follow-up emails are all automatic. Booking pages, perk delivery, paid communities, and paid posts come from the same screen |
| **Training staff, employees, and community members** | Every time a new person joined, the same explanation was repeated by voice and email | Step messages that send a DM "N days after" the day someone joins, recorded training, an AI that knows your internal rules (called with @), and AI meeting notes turned into tasks all cut the time trainers spend |
| **Automating work (RUNner)** | You say "please take care of it," and then a person has to chase whether it got done | Set a goal and its checks, then ask: the AI makes progress and does not finish until the checks pass. Assigning to members, progress, and the customer's OK are all visible in one place |

**Having all three in the same place is the biggest difference.** For example, if you put the goal "done when 20 webinar sign-ups come in" into RUNner, RUNner checks the registration count in the webinar feature automatically. To-dos that come out of meeting notes can be handed to RUNner as they are.

## 1. Getting started: organization, members, and permissions

### 1-1. Reading the screen

- The left menu lists My Chat, News, RUNner, and Open Chat (① RUNner). Below them are external shared chats and ② the open chats you have joined
- The icon row at the top right opens each feature: webinars, broadcasts, bookings, and so on
- The right panel shows AI, tasks, and the calendar
### 1-2. Inviting members

- Open Settings → Organization invitations (/app/settings/invitations)
- Choose ① "Role for people who join" (Member, Manager, and so on)
- Press ② "Create sign-up URL" → the URL is copied automatically
- Send the URL to your staff. When someone signs up or logs in with it, they join this organization automatically
- You can also invite people individually by email (invitations are valid for 14 days)
- The heading, description, and image on the join page can be rewritten for your company (on the same screen, under "Customize the join page")
### 1-3. Roles (permissions)

| Role | What they can do (main items) |
| --- | --- |
| Owner | Everything. Signing up for plans and RUNner licenses |
| Admin | Organization settings, creating webinars, broadcasts, and so on, invitations (all permissions) |
| Manager | Inviting with member permissions, working with marketing numbers |
| Member | Chat, docs, and AI |
| Guest | Only the channels they were invited to |

**Point**: the "sender side" features such as webinars, broadcasts, and step messages are used by owners and admins.

## 2. Marketing: attract, nurture, sell

### 2-0. The overall flow

| ① Attract | → | ② Nurture | → | ③ Take consultations | → | ④ Sell |
| --- | --- | --- | --- | --- | --- | --- |
| **Lead magnets** (name and email in exchange for a free perk) **Gift codes** (hand out codes on social media) **Open Chat** (free community) | → | **Automated webinars** Recorded sessions delivered automatically at set times Replays and follow-up emails | → | **Booking calendar** Bookings for one-on-one consultations Zoom/Meet links created automatically A chat just for that customer | → | **Paid open chats** **Paid posts** (one-time purchase) **Sales pages** (offers) |

You can see the overall numbers on the **marketing dashboard** in one screen, as "Attract → List → Educate → Sell."

### 2-1. Automated webinars: play a recorded video automatically, like a live session

**What it does**

- Register an unlisted YouTube or Vimeo URL, and it is delivered as a "live" session at set times
- Three ways to run it: **Recurring** (for example, every Tuesday and Thursday at 20:00) / **One-time** / **Always on (JIT)** (starts right away, timed to each person who registers)
- Registration page, confirmation email, reminders (day before / 1 hour before / at start), replays (none / 24 hours / 7 days / unlimited), and follow-up emails after the session are all automatic
- Buttons during the session (apply, download materials, survey) lead viewers straight to the next action
- Registrations, attendance, completion (watched 80% or more), and button clicks are counted, so you can see where people dropped off
- From "Plan with AI," you can have AI draft the plan, script, email copy, and FAQ
- You can embed the registration form on your own site (embed code)
**How to use it**

- Open "Automated webinars" from the icon row at the top right (/app/webinar)
- Press ① "New" (or ② "Plan with AI" if you want to start from the plan)

- Enter the title, description, presenter name, brand color, video URL, and video length
- Choose the schedule: ① Recurring ② One-time ③ Always on (JIT)
- Turn on replays, post-session follow-up emails, and the referral program as needed
- Save and press "Publish" → copy the registration URL and announce it on social media, your landing page, and email
**Benefits**

- No one has to give the same presentation every week. **The presenter can be asleep or overseas, and the session still runs**
- Because completion rate and drop-off points are visible, you can fix "where to change the talk to get more sign-ups" with numbers
- With the referral program on, participants earn perks for inviting friends, giving you a way to grow attendance without ad spend
### 2-2. Lead magnets: collect names and emails in exchange for a free perk

- Open "Lead magnets" and press "New" (/app/magnet)
- Enter the title and description, then ① the **download URL** (PDF, video, Notion, Google Drive, and so on)
- In ② **Next-step URL after download**, enter the page you want people to see next (such as a webinar registration page)
- ③ "Create draft" → when you publish, you get the URL of the download page
- People who sign up see the download right away, and the same content is sent to them by email
- Sign-ups are listed with their source and can be exported as CSV
**Benefit**: you can build the entry point "free gift → list → webinar → sale" today, without building a page.

### 2-3. Gift giveaways: people who send a code get the perk automatically

- "Gift giveaways" → "New" (/app/present)
- Enter ① the perk URL (or a file to deliver, or a message)
- Decide ② the coupon code (one shared code for everyone, or a batch of random one-per-person codes)
- ③ "Create draft" → "Publish"
- Hand out the code on social media, in webinars, and in chat → when someone sends the code to UNIHUB's My Chat, the perk is sent back automatically (once per person)
**Benefits**

- **Zero manual work** sending materials one by one to "everyone who commented"
- With one-per-person codes, you can count separately which route (which social post, which event) people came from
### 2-4. Booking calendar: customers book their own consultations

- Open "Meet with external guests," go to the ① "Booking calendar (scheduling)" tab → ② "Create booking page" (/app/external?tab=booking)

- Enter the title, the days and hours you accept, the length of each session, and how many days ahead you accept bookings
- Choose the meeting method: ① **Create a Zoom meeting for each booking** / create a Google Meet automatically / always the same meeting URL
- Turn on ② "Automatically create a chat with the guest (external chat)" and a private room for that customer is created every time a booking comes in
- ③ "Create draft" → publish and share the URL of the booking page
- When a booking comes in, a confirmation email, reminders, and a calendar file (.ics) are sent automatically
- A limit is applied automatically so the same person cannot make too many bookings
**Benefit**: no more "when are you free?" back and forth, and **booking → meeting URL → customer room → meeting notes** are connected in one line.

### 2-5. External shared chats: talk with a customer in one room, no account needed

- In "Meet with external guests," on the ① "External chats & minutes" tab, enter a room name (for example, "Meeting with ABC Inc.") and press ② "Create"
- Send the invite URL to the customer (no account needed on their side; they just enter a name)
- Start a meeting with the "Zoom" button inside the room, and AI creates meeting notes from the recording
- The notes go to "Minutes awaiting review," and **the customer sees them only when you check the content and press "Share"**
**Benefit**: conversations with customers that were scattered across email, LINE (a messaging app widely used in Japan), and Chatwork come together in one room. Because meeting notes are never sent out on their own, you can fix internal wording before handing them over.

### 2-6. Open Chat: create free and paid communities

- Create from "Open Chat." ① "Managing" lists your own rooms, and ② "Discover" lists public communities
- You can create **free** or **monthly subscription** rooms (paid through Stripe). Rooms can also require approval
- Turn on "List in the public directory" to be found inside UNIHUB (off at first)
- The number of rooms and members depends on the plan (for example, Starter 3 rooms with 300 people per room, Pro 10 rooms with 1,000 people, Business 30 rooms with 3,000 people)
**Benefit**: you can run membership salons, member communities, and customer support rooms as they are, with payments included.

### 2-7. Paid posts: sell one post as a one-time purchase

- From the 💎 button in the chat composer (on phones, "➕ → Sell a paid post"), enter a cover image, title, free part, paid body, and price (¥100 to ¥1,000,000, billed in JPY), then post
- UNIHUB collects the payment on your behalf (12% fee), and you request a payout from Settings → Monetization (minimum ¥1,000, transfer fee ¥300)
- Only the organization owner can post
**Benefit**: sell know-how, case studies, and templates inside the chat, without building a sales page.

### 2-8. Marketing dashboard: from attracting to selling, in one screen

- Open "Marketing" (/app/marketing)
- See the organization's numbers together (webinar registrations and attendance, members, sales, and so on) in the flow "Attract → List → Educate → Sell"
- ① Connect UNIREACH (Instagram and Threads DMs), UNISTEP (LINE messaging), UNIECHO, and UNICORE (membership site), and each product's numbers appear on the same screen
- ② Turn on "AI weekly marketing report," and AI posts a weekly review to a channel
**Benefit**: you can see "where things are stuck" in one screen, so you never wonder what to fix next.

## 3. Training staff, employees, and community members: teach, ask, keep going

### 3-0. The overall flow (from the day a new person joins until they work on their own)

| Invite | → | Day 1 to day 90 | → | Daily work |
| --- | --- | --- | --- | --- |
| Send the **invite URL** Step messages start automatically the moment they join | → | **Step messages** (a DM arrives N days later) Training with **recorded webinars** Hand out materials with **gifts** **How-to courses** (every morning at 7:00) | → | Ask the **@internal AI** Grow procedures in **collaborative docs** **Meeting → AI meeting notes → tasks** created automatically Hand over a how-to with **RUNner** and get a report when it is done |

### 3-1. Step messages: a DM arrives automatically "N days after" the join date

Open "Broadcasts" (/app/broadcast). Under "Step messages (direct chat)" at the bottom, press ② "New scenario"
- "Broadcasts" at the top is for sending a one-to-one DM to every member right now (check the headcount with ① "Check recipients" before sending)

- Enter a scenario name (for example, New member onboarding (7 days))
- Check ① "Auto-enroll new members" → everyone who joins the organization from now on is put on this scenario automatically
- In STEP 1, enter "N days N hours after sign-up" and the message (write {name} and it is replaced with the recipient's name)
- Use ② "Add step" to add STEP 2, STEP 3, and so on (up to 10 steps, up to 90 days)
- ③ "Create scenario" → turn it on and sending begins
**Example (a new hire's first 7 days)**

| When | Example of what arrives |
| --- | --- |
| 0 days 0 hours later (right away) | Welcome message / link to the first doc to read |
| 1 day later | What the company values (links to videos or docs) |
| 2 days later | Registration URL for the training webinar |
| 3 days later | How to use the internal AI (@handle) |
| 5 days later | Work manual (delivered with a gift code) |
| 7 days later | Link to a one-week reflection survey |

**Benefits**

- Trainers **no longer repeat the same explanation for every new hire**. Build it once, and it arrives at the same quality no matter how many people join
- What gets sent is a one-to-one DM under the creator's name. New hires feel that someone is talking to them
### 3-2. Internal training with recorded webinars

- The automated webinars from 2-1 can be used as they are for internal training
- Set the training video to "Recurring" (for example, the first Monday of every month at 10:00), and **even if people join in different months, the same training runs automatically every month**
- Put the registration URL in a step message, and new hires naturally sign up for training on day N
- You can see who completed it (watched 80% or more), so you only need to follow up with people who have not watched
### 3-3. Shared agents: an AI that knows your rules and procedures, called with @

- "Shared agents" → "New" (/app/agents)
- Decide the name and ① the **handle** (for example, @GeneralAffairs)
- In ② **Persona**, write the role, areas of expertise, and tone (for example, "General affairs staff who answers questions about work rules and expense reimbursement rules. Cites the name of the relevant rule")
- Choose ③ the **tools** it can use (if you have connected UNI products)
- ④ "Create" → after creating it, register your internal rules and procedures as materials (up to 10 files, 100,000 characters each, in .txt / .md / .csv. For PDF and Word, paste the text)
- Members simply write @handle in a channel in the space chosen at creation time and ask their question
- Conversation memory **accumulates in the agent**, not in the person who created it, so it carries over when the person in charge moves on
**Benefit**: less time for senior staff to stop what they are doing to answer "how do I file an expense claim again?" New hires can ask things they find hard to ask without hesitation.

### 3-4. Collaborative docs: grow procedures together

- "Collaborative docs" → "New" (/app/docs)
- Enter ① the title, choose the channels that can edit, and press ② "Create"
- Every member of the channel can edit paragraph by paragraph. If two people edit the same paragraph at the same time, a message says it was already updated, so nothing gets overwritten by accident
- In the "Ask AI" bar, you can ask AI to rewrite, summarize, or clean up a paragraph (you can also pick a shared agent)
**Benefit**: manuals stop sitting on one person's computer and become a place that the people who use them can fix the moment they notice something.

### 3-5. Meeting → AI meeting notes → tasks and next meeting date, all automatic

- In Settings → Zoom, press ① "Connect Zoom" (/app/settings/zoom)
- Start a meeting from the 🎥 in the chat header (with cloud recording)
- When the meeting ends, the AI meeting notes are posted to the chat (you can also save them as PDF or Markdown)
Things created automatically from the notes
- 📅 **Next meeting**: an "Add next meeting to Google Calendar" button
- **The host's to-dos**: go to tasks in your My Chat
- **The other side's to-dos**: go to the channel's tasks (with an @mention to the assignee)
- In organizations that can use RUNner, each task has an "Ask RUNner" button

- In Settings → Minutes, turn on ① "Turn meeting notes into docs automatically," and the notes are also kept in collaborative docs (off at first)
**Benefit**: the three after-meeting chores, "write the minutes," "assign the tasks," and "send the next date," disappear. So does "I said / you never said."

### 3-6. Tasks and reminders: prevent forgotten tasks and missed replies

- ① **Awaiting reply**: lists the DMs and mentions addressed to you from the last 7 days that you have not answered yet
- ② **Open tasks**: you can add a due date, assignee, advance reminders (day before, 3 hours before, 1 hour before, 9:00 on the day), and daily reminders
- Tasks tied to a channel notify the assignee with an @mention
### 3-7. Time clock: clock in and out from the chat

- In Settings → Time clock, turn on ① "Turn on the clock-in button for this organization" (owners and admins, paid plans)
- A clock-in/out button appears in the sidebar. You can also punch by sending "clock in," "clock out," "break," "back," or "daily report" to My Chat
- At 22:00, a reminder is sent to anyone who forgot to clock out

- Admins use "Attendance" for monthly time cards, CSV export, ① monthly reports, and ② approving requests (punch fixes and leave). When overtime grows, admins are notified automatically
**Benefit**: no separate tool to open for attendance. It is all done in the chat you open every day.

### 3-8. Team glossary and the AI's "catch-up for new members"

- In Settings → Team glossary, register ① terms, definitions, and usage examples. "Extract team terms" in the AI panel can also suggest candidates from the chat
- The AI panel has a set of features that help with training: "Catch-up for new members," "Ask this group chat," "Who should I ask?", "Extract decisions," "Find stalled items," and "Pre-send risk warning"
**Benefit**: people who join partway through can grasp "what has been decided so far" quickly, without reading every past exchange.

### 3-9. How-to courses (how to use UNIHUB itself)

- After signing up, a how-to course arrives every morning at 7:00, only to you (choose from "Everything (14 days)," "On my own (7 days)," "With a team (7 days)," and "Training and information sharing for a company (7 days)")
- UNIHUB itself takes over the work of teaching your staff how to use UNIHUB
## 4. Automating work: RUNner

### 4-0. What RUNner is

**Set a goal and ask, and the AI works through to the end, then confirms whether it is done with checks.** Even if the AI says "done," it is not done unless the checks pass.

| ① Create a goal | → | ② Ask AI | → | ③ AI makes progress | → | ④ Checks finish it |
| --- | --- | --- | --- | --- | --- | --- |
| What you want done What done looks like (definition of done) | → | One button to Claude Code, ChatGPT, or Claude | → | Reads the goal, does the work, leaves notes and evidence Asks when unsure, requests approval before anything goes outside | → | "The page has the text" "Sign-ups passed 20" "A person pressed OK" → **Achieved only when all of them pass** |

### 4-1. The welcome guide (first time only)

- Open "RUNner" in the left menu, and the welcome guide starts
- Choose your nickname and how you will use it: ① **On my own** (hand my own work to AI) / ② **With a team** (share goals with members)
- Press ③ "Next" to decide the work you want to hand over → where you want to be in 3 months → how you want it handled (whether to confirm before anything goes outside)
### 4-2. Creating goals and adding them to Today's tasks

- Press "+ Create goal" and enter the title, definition of done, type of check, and due date
- Other ways to create one: "Think it through together" (AI asks questions and builds the criteria) / "From meetings" (from the next actions in Zoom meeting notes) / from a template
- In "Today's tasks," press a date in the calendar and ① "Add goals to this day," and the goals to do that day are listed
### 4-3. Let AI break down a big goal

- In "Break down a goal," enter the goal to split (for example, reach ¥1,000,000 in monthly sales within six months), the deadline, the hours you can spend per week, and your current situation
- Press ① "Ask AI to break it down" → the AI builds a tree of subgoals in five stages: "Interview → Work backward → Break down → Check → You confirm"
- Nothing becomes a goal until you review the content and press "Create from this tree"
**Benefit**: a big goal where "I don't know where to start" turns into a state where even this week's work is laid out.

### 4-4. Three ways to ask AI

| Method | Good for | What you need |
| --- | --- | --- |
| **Ask AI** (copy and paste the instructions) | Trying it out first | Claude Code or similar |
| **Connect from the ChatGPT or Claude app** (connector) | Saying "move this goal forward" from your phone or browser | A ChatGPT or Claude subscription |
| **Run on PC** (RUNner PC app) | Making progress while you sleep or sit in meetings | A computer (Node.js 20 or later) plus Claude Code or Codex |

AI usage fees are charged on the user's own Claude Code, ChatGPT, or Claude subscription (or API key). RUNner never receives AI usage fees.

### 4-5. How to connect AI

**A. Claude Code (connect with a key)**

- Open "Connect AI" in RUNner's left menu
- Enter a key name (for example, Claude Code) and press ① "Issue a key"
- Paste the one line shown (claude mcp add …) into your computer's terminal and run it
- If "run" appears in claude mcp list, you are done. The key is shown only once, so paste it right away
**B. ChatGPT or Claude app (connect with a connector, no key needed)**

- On the same screen, press ② "Copy URL" to copy the connection URL
- Claude (claude.ai): Settings → "Connectors" → "Add custom connector" → enter a name (for example, RUNner) and the URL, then "Connect"
- ChatGPT: in Settings, under apps and connectors, create a custom connector (MCP), enter the URL, and set authentication to "OAuth" (the names on the ChatGPT side may change)
- When the UNIHUB login screen opens, log in and press "Allow"
- Confirm by saying "show me my RUNner goals" in the chat
**C. RUNner PC app (make progress while you sleep)**

- At the bottom of the same screen, under "Run while you sleep (RUNner PC app)," use "Getting started" to get the launcher (Windows / Mac) and start it
- Press "Run on PC" on a goal screen, and the AI on your computer picks it up within about 30 seconds and gets to work
- "Run in order on PC" hands over up to 20 goals in one batch
- Keys and connectors you no longer use can be cut off at any time with "Revoke" in the list on the same screen
**What AI can do inside RUNner (39 tools in total)**

| Type | Main tools |
| --- | --- |
| Read | Your goal list, goal contents (definition of done, rules, evidence), templates, search inside UNIHUB (only channels it can read), and material for drafting replies to unanswered chats |
| Write inside the organization | Status reports, notes, attaching deliverables and evidence, adding checks, running checks, creating subgoals, saving a goal breakdown, and drafting replies |
| Reach outside (with approval) | **Approval requests** before anything goes outside, involves money, or deletes something, questions to members, replies to the person you handed a how-to to, and deliveries to a customer's room |

**Staying safe**: operations that go outside (posting, broadcasting, email, publishing), money, and deletion require approval before they run when they are set to "Ask me first" in Automation settings (everything starts as "Ask me first"). Only the person who asked or an organization admin can approve. There is no deletion tool.

### 4-6. Checks (the most important part of RUNner)

Decide "done" in a form that can be verified, not by a person's feeling.

| Type of check | Example |
| --- | --- |
| The page has the text | "The application page is live and one submission arrives through the form" |
| A person presses OK | "The assignee reported it as done," "A manager reviewed the content" |
| UNIHUB numbers (automatic) | "Webinar registrations passed 20," "Gift claims passed 100," and other numbers from webinars, bookings, gifts, paid posts, broadcasts, and channels |
| The customer's OK | The customer pressed "OK" on a deliverable posted to their room |

**Benefit**: no more "I thought I did it" or "I thought it was done." If you make a marketing number the check, **the goal does not close until the target number is reached**, so both AI and people keep moving toward the number.

### 4-7. Running it as a team: assigning goals to members

- In "Team," press ① "Choose members to show"
- When you assign a goal to a member, it also arrives in their DM under your name
- **Even people without RUNner** can press "Started," "Report as done," and "Ask a question" from the buttons in the DM
- Progress (the last 14 days) and the time from assignment to done (per person) are gathered here
- With ② "Who can see progress," choose between "Owners and admins only" and "Everyone who can use the Team feature"
- The AI can also ask members questions (up to 5 per job). For example, it asks the person in charge "What name should go on last month's invoice?" and waits for the answer before continuing
**Benefit**: no more walking around asking "what happened with that?" You can see who is finishing what and how long it takes, so you notice uneven workloads early.

### 4-8. Templates: turn what worked into "the way we do it"

- Open a finished goal and press "Save as template," "Make a draft with steps," or "Have AI write the steps," and next time you can create the same goal tree (subgoals, definition of done, and checks) in one step
- Add steps (what to do, tips, where you got stuck), and it becomes **both a how-to you can hand to a person and "the way we do it" that the AI reads**
- ① Organize them in folders (up to 3 levels)
- **Schedules**: set daily, weekly (day of week), or monthly (date) plus a time, and a goal is created automatically around that time (for example, "Schedule this week's posts" every Monday at 7:00)
- **Hand off**: hand a template to a member, and the steps arrive in their DM. Your AI answers their questions based on the steps, and when they write "done," the checks run (the recipient does not need a license)
**Benefit**: the know-how that lived in a veteran's head stays with the company as an asset. Hand it to a new hire and the AI sits beside them answering questions.

### 4-9. Drafting replies to unanswered chats

- ① "Unanswered chats" lists what you should reply to (DMs where the other person wrote last, mentions addressed to you, and threads you are in)
- "Draft all replies with AI" has the AI write draft replies. **You send them yourself** (nothing is sent on its own)
### 4-10. How notifications arrive

- Questions from the AI, approval requests, and goal completions arrive in the UNIHUB bell and on your phone
- ① **Slack**: paste a Slack Incoming Webhook URL and save, and they also arrive in a Slack channel
- ② **Google Calendar**: connect first in Settings → Integrations → Google Calendar, and the goals assigned to you appear as all-day events in a "UNIHUB" calendar (they move when you change the date and disappear when done)
- Around 18:00 every day, a daily report of "what RUNner got done today" can be posted to your report channel
### 4-11. Licenses (per person)

- The organization owner can use RUNner on the organization's plan. **For anyone else to use it, a per-person license** is required (① Starter ② Pro ③ Focus ④ Unlimited)
- People who are assigned goals or handed how-tos can receive them without a license
- Main differences between tiers (see the table on the screen for details)
| Tier | Main capabilities |
| --- | --- |
| Starter | Hand goals to your own AI to work on, Knowledge (Company basics and Don'ts, 10 entries), Drive (upload yourself), 1 form |
| Pro | Plus RUNner PC app, templates, create from meetings, daily report, automatic creation from events, drafts for unanswered chats, how-to guides in Knowledge (100 entries), AI uploads to Drive, 3 forms (goals from answers), Contacts (300 people), Analytics (3 metrics) |
| Focus | Plus Team (assigning), questions to members, search inside UNIHUB, schedules, batch handover, Slack and Google Calendar, deliveries to customers, assigned agents, organization usage reports, unlimited Knowledge, forms, contacts, and metrics, automatic contact import and AI, manual metric entry and AI reports, Drive share links |
| Unlimited | Plus per-member usage reports (CSV), monthly reports for customers, metrics from external numbers (GA4, Stripe, and so on) |

### 4-12. Knowledge: the company textbook the AI reads every time

- In the sidebar, under "Business" → "Knowledge," put what you want the AI to know every time. Each time you ask the AI, the entries that apply to that goal are passed to it automatically
- There are four shelves: **Company basics** / **How-to guides** (can be attached to categories and templates) / **Don'ts** (become rules for every goal) / **Lessons learned** (can be imported from FAQs, goal notes, Docs, and Drive)
- **Only entries adopted by an owner or admin are passed to the AI.** Entries added by other people or by the AI stay as drafts and are not passed
- On a goal screen, "Knowledge the AI reads for this goal" shows exactly what gets passed
**Benefit**: you no longer have to explain "here is our product" or "we never say it this way" to the AI every time.

### 4-13. Drive: where deliverables live

- Put a goal's deliverables in "Business" → "Drive" in the sidebar, and in "Drive" on the goal screen. Uploading under the same name adds a version. You can search by name and by content (text files)
- Only on goals where "Let the AI upload deliverables to Drive" is turned on does the AI on your PC upload the files it creates (off by default, meaning files never leave your PC)
- You can add "A file is in Drive" as a check. Time-limited share links (Focus and above) let you hand files to people who are not logged in
- Storage comes from your UNIHUB plan's storage (shared with chat attachments). Up to 100 MB per file
**Benefit**: even with your PC closed, you and your members can check deliverables from a phone.

### 4-14. Contacts: tie the AI's work to each customer

- "Business" → "Contacts" in the sidebar lists each customer with name, company, stage (Lead / In talks / Customer / Inactive), tags, owner, next contact date, notes, and a timeline (form answers, webinar registrations, bookings, information requests, purchases, notes, and stage changes) (Pro 300 people, Focus and above unlimited)
- Link a contact under "Contacts" on a goal screen, and the AI for that goal receives the person's name, company, and stage (on Focus and above, also history and notes). **Email addresses are never passed**
- On Focus and above, webinar registrations, bookings, information requests, paid post purchases, and paid members are gathered automatically under the same person by email address (every hour). CSV import and export are also available
- **People fill in the table.** The AI only proposes updates to stage, tags, next contact date, and notes, and the table does not change until you accept them under "AI suggestions"
- People whose next contact date has arrived appear in "Today's tasks." You can add checks such as "this person's stage became X" and "at least N people at this stage," and the event "a contact's stage changed"
- Only owners, admins, and the contact's owner can see it (a setting opens it to everyone). There is no automatic deletion after a time limit. Deletion requests from the person are handled with "Delete," and people who ask to stop receiving messages are marked
**Benefit**: because the AI knows "what we have done with this person," you can confidently hand it per-customer work (proposals, follow-ups, deliveries).

### 4-15. Forms: collect answers from people

- Create forms for customers and members to answer under "Business" → "Forms" in the sidebar (Starter 1 / Pro 3 / Focus and above unlimited). Up to 20 questions of 6 types. Publishing creates a public page that needs no login (/f/…)
- **People publish** (the AI only drafts). Publishing requires the URL of a privacy policy to show respondents
- What happens after an answer: nothing / create a goal from a template for each answer (Pro and above) / add the respondent to Contacts (Focus and above). You can also set the post-submit message and a thank-you email (a copy of the answers)
- Answers are listed and exportable as CSV. Only owners, admins, and the creator can see them. Deletion requests from respondents are handled by deleting answers one at a time
- You can add the check "at least N answers to this form" and the event "a form received an answer." Answers are passed to the AI as "data written by people"
**Benefit**: applications, inquiries, and surveys become the AI's next piece of work (a goal, a contact's history) without passing through human hands.

### 4-16. Analytics: put result numbers next to goals

- Create metrics under "Review" → "Analytics" in the sidebar (Pro 3 metrics, UNIHUB numbers only / Focus and above unlimited). Sources are bookings, webinar registrations, paid post purchases, channel posts, gift consents, and form answers (cumulative from the day counting starts), member count and the number of contacts at a given stage (current value), and manual entry and AI reports (Focus and above)
- For machine-collected numbers, the hourly sweep replaces that day's point (one point per day). **Days with no value are shown as "not collected," never as 0.** The source (machine / manual / AI report) is a separate line on the chart
- Link a metric under "Metrics" on a goal screen, and "current value and how far to the target" appear on the goal screen and to the AI. You can add the check "a metric reached its target" (linked metrics only). **AI reports are not used for "current," "reached," checks, or reports until a person presses "Confirm"**
- On Focus and above, the creator is notified once when the target is reached. The AI can use get_metric (read), report_metric (report with a source URL, Focus and above), and propose_metric (a draft that is not counted until a person adopts it). Unlimited adds "External number (JSON API)," which collects daily from an https URL that returns JSON, plus the location in it (never put keys in the URL)
**Benefit**: AI and people confirm the finish line "the number has reached the target" using the same number.

### 4-17. Usage reports: delivered monthly, showing what is getting stuck

- On the morning of the 1st of every month, a report on "how RUNner was used" last month is generated and delivered to News (available any time under "Review" → "Usage reports"; the top shows current numbers for the last 7 / 30 / 90 days)
- Contents: that month's facts (finished goals, jobs sent to AI, the share that went through to the end, stopped jobs and why, checks that failed), time spent waiting on people (the median time to answer approvals and questions, and the 3 longest), results (whether metrics reached their targets), and next steps (up to 3, **produced by fixed rules, not written by AI**)
- Who sees what: Starter and Pro see their own / Focus and above see the organization's / Unlimited owners and admins see per-member tables and CSV
- Delivery: News. When an owner or admin (Focus and above) chooses a channel under "Delivery," a summary with only counts and medians is posted under RUNner's name (no names, goal titles, reasons for stopping, or metric names). A PDF can be downloaded from the usage report screen (same visibility as the screen)
- Monthly report for customers (Unlimited, owners and admins): choose an external shared chat you host, and a text about what was delivered to that room that month (the customer's OK and change requests) is generated. Read and edit it, then press "Post to room" (a person reviews it before it goes out)
- **No estimated numbers (such as "N hours saved with AI") are written.** Only values recorded in UNIHUB are shown: machine counts, manual entries, and AI reports confirmed by a person
**Benefit**: without going to look, "where things are stuck and what to change next" arrives every month, and you can produce the monthly customer report from it as well.

## 8. Things to know before you start

- **Step messages and broadcasts reach organization members only.** They cannot be sent to webinar registrants, lead magnet sign-ups, or customers who booked. Reach prospects through webinar reminders and follow-up emails, lead magnet emails, and button links
- **A broadcast reaches up to 500 people per send.** Larger organizations should split the organization or send in several batches
- **Step messages do not automatically resend a step that failed to send.** For important notices, it is safer to mention them again in a later step
- **Conditions for AI meeting notes**: the host's Zoom must have "cloud recording" and "audio transcript" turned on (a paid Zoom plan)
- **Anything that goes outside is approved by a person when it is set to "Ask me first" in Automation settings (everything starts that way).** Keep that setting and RUNner's AI never posts, broadcasts, sends money, or deletes on its own
- **AI usage fees** in RUNner are charged on the subscription of the person using the AI. UNIHUB's own AI features (meeting notes, AI panel) are included within your plan's limits
